How to Add Your Business Logo to a PDF Invoice

Upload a supported image up to 2 MB, reuse it on later invoices and check it in three built-in layouts.

A consistent logo and layout help clients recognize your business, while a clear template keeps the client, work, total and payment details easy to find.

Simple Invoicing includes three built-in PDF designs and a reusable logo library. Fill the real invoice content first, then choose the layout that handles your names, descriptions and notes most clearly.

Branding should support the invoice rather than compete with it. Always review the generated PDF, especially when the invoice contains long item descriptions or spans multiple pages.

Create a branded invoice

Add your branding without hiding the details

  1. 1

    Complete the invoice content

Add the business, client, dates, itemized work and payment information so the preview reflects the document you will actually send.

  2. 2

    Compare the three templates

Review Clarity, Luminous and Waterfall and choose the built-in layout that keeps your most important information readable.

  3. 3

    Upload or reuse a logo

Choose a supported image up to 2 MB or select a previously saved logo from your library. Confirm that it belongs to the invoicing business.

  4. 4

    Inspect the complete PDF

Check image quality, text wrapping, totals and every page before downloading the final document.

One invoice in three built-in designs

A small studio creates an invoice with five service lines and a project note. It compares each design using the actual content and chooses the one where its wide logo and long descriptions remain balanced.

  • All three layouts use the same invoice data and selected logo.
  • Changing the layout does not change line items or calculated amounts.
  • Use the preview and final PDF to check wrapping with your real content.

Reuse the right logo on future invoices

Uploaded logos remain available in your account, avoiding a new upload on every invoice. You can select another stored logo or no logo when issuing for a different business identity.

Before reusing an older invoice or default, verify that the selected logo still matches the supplier named on the document.

Keep the design readable

Use a clean logo file with enough resolution for PDF output. A detailed image or tiny lettering may not reproduce clearly in the available header space.

Font scaling can help the content fit, but it should not make payment details or line items difficult to read. Review rather than relying on the thumbnail alone.

Built-in templates, not a custom designer

The product offers Clarity, Luminous and Waterfall, font scaling and reusable logos. It does not provide a drag-and-drop designer, arbitrary colors, custom HTML/CSS or user-built templates.

You are responsible for having permission to use the uploaded logo and for confirming the final PDF content.
